Cleaning quote template

Create a customer quote draft with your own scope and price. Review it, then print or save a PDF. Keep the internal cost worksheet for your own records.

No email or account needed. The CSV includes internal planning fields and has no formulas. The text worksheet contains customer-facing fields only.

Build your customer draft

The customer version contains your scope and chosen price. Your internal labour costs and profit do not appear in it.

Entries stay on this page until you leave or reload. Nothing is saved or sent. Your browser's print dialog can save a PDF.

Who and where
The agreed work

State exclusions explicitly; enter “None agreed” only if that is accurate. Explain how a changed scope or condition will be reviewed.

Your customer price

VAT is not calculated here. A transferred calculator price has no VAT calculation. Confirm the correct final amount and wording yourself. The draft is not a VAT invoice.

Review your own payment, cancellation and scope terms before sharing. Creating a draft does not reserve a visit or take a booking.

Complete the fields, then review the customer draft before printing.

Owner planning example

This separate worked example explains the arithmetic. These internal costs never enter your customer draft.

Scroll the table sideways if needed. The table region can receive keyboard focus.

Exclusions: oven interior, inside cupboards, windows, laundry and moving heavy furniture. Areas not listed are excluded.

Assumptions: normal access to the listed rooms and clear floors. Confirm condition and access before making an offer.

Timing and validity: agree a visit date and an estimate expiry date before sending. This example does not reserve a visit.

Owner's calculation for this example
Labour at an example £15/hour£45.00
Supplies and travel£9.00
Allocated overhead£0.00
Estimated cost£54.00
Indicative price at 30% target margin£77.14

Example figures are not market rates. VAT has not been calculated. Decide the correct tax treatment and total before sharing your own estimate.

What should a cleaning quote include?

A cleaning quote should identify the business, customer, property scope, price and terms that apply to the offer. A planning estimate should also make assumptions clear. The editor above provides these fields. Its customer copy excludes internal cost and profit lines. The downloads leave fields blank for you to complete locally.

List each room or area and the tasks included. Record exclusions beside the scope rather than leaving the customer to infer them. Use a separate line for an optional extra. State how a change in condition or requested work will be reviewed.

Keep the internal cost sheet separate

Your cost calculation helps you choose a selling price. Customers need a clear description of what that price covers. Keep the internal worksheet for your own planning records. The worked example displays its cost model to explain the tool and is not a finished customer quote.

30% margin versus 30% markupFor a £54 cost, a price of £77.14 targets 30% margin. A price of £70.20 applies 30% markup. The percentages use different denominators.30% marginCost £54.00Profit £23.1430% markupCost £54.00Profit £16.20
Example inputs. Margin compares profit with selling price. Markup compares profit with cost. Amounts are rounded to the penny.

Use the selected-rooms calculator example to open the figures above, or enter your own labour, supplies, travel and overhead. After calculating, choose “Create customer quote draft” to carry across only the selling price. Review scope and tax treatment before sharing. The CSV worksheet does not calculate totals automatically.

Describe time in the right units

Person-minutes show the total labour effort. A two-person crew cleaning for 90 minutes uses 180 person-minutes. A customer may care about the 90-minute visit duration. Label these figures separately if you include both.

Elapsed time and person-minutesTwo cleaners working for 90 elapsed minutes contribute 180 person-minutes in total. This equals one cleaner working for 180 minutes.Cleaner 1Cleaner 290 min90 min180person-minutes3 labour-hours in total
Example time allocation. Add each cleaner's time once. Do not multiply this total by crew size again.

Check before sharing the document

Replace all blank fields and review every exclusion. Add your real contact details and the date the estimate expires. State whether the amount can change after inspection. Check your payment and cancellation wording matches what you actually offer.

Select “Review customer draft” after completing the editor. The preview shows the exact customer copy. Any edit hides that preview until you review it again. The customer print button prints only that copy; use your browser's Save as PDF destination if available. Check the preview in the print dialog before sharing. No customer record is saved or sent by this site.
